Travel agents operate as agents of airlines and other supply providers. Due to these operations; there is a limit to which an agent can influence the cost of travel. However there are a number of ways in which an agency like ours can assist an organization like yours to realize cost saving on its travel budget. Our preferred approach to cost effective pricing includes: enforcement of lowest fare travel policy, imaginative itinerary planning which provides cost effective planning, periodic analysis of air data for corporate discounts and waiver of fare conditions.
Due to many checks that are required in the course of ticketing and reservations, we have developed a standard quatation checklist which captures all travel information needed by passengers to make informed choices at itinerary planning stage.
Due to specialized ticketing and travel services we provide, We have set up our reservation system to connect with two main providers of Global Distribution System(GDS) required for professional ticketing services worldwide. For international reservation and ticketing services, we use GALILEO & AMADEUS Computer Reservation System(CRS) on which we have trained all our Travel Consultants.
We accept telephone bookings; give quotations including quatations on special and promotional fares, we plan travel itinerary in line with the basic requirements of the client,we give clear information on available price options on each itinerary and the conditions for ticketing special fares including penalties where necessary. We also monitor all waitlisted flights and ensure such waitlists are confirmed to avoid instances of flight cancellation.
When travel is originating from Kenya and immigration department rules permit, we accept passports and process visas on behalf of the clients. However in cases where a client is denied a permit; we provide all the necessary information required to facilitate a quick processing of the Visa applications, assist them to fill in the forms as required then provide follow up services to ensure all necessary travel documents are ready prior to the desired travel date.
We make all the necessary reservations whenever a request by a person officially appointed to make such bookings is trigered. We however do not issue any ticket without a travel authorization form/purchase order form duty filled in with the name of the person(s) travelling, the routing, the approved fare, the project number or fund code to be charged or project reference number(as applicable) and signed by a person competent to do so. Any breaches of travel policy are reported to and cleared with the designated authorizing Manager before any further action is taken.
We meet and assist all participants on arrivals and organize airport transfers to the hotel as well as organize departure transfers from the hotels to the airports at the end of the conference. It is our regular practice to set up a welcome desk at the destination airport; where a delegate would be welcomed and given all necessary assistance with baggage retrieval, assistance with documentation for lost baggage among other assist services.
Our system is fully automated and all tickets including those with specially negotiated prices are auto ticketed to reduce the incidence of ticketing errors. Our supervisor does a final check on issued tickets to ensure thet errors from travel consultants are rectified prior to ticket dispatch in case of errors. This procedure is even more strictly adhered to during ticketing for group travel or for conferences when ticketing is done in bulk.
We reserve and firm up the accommodation arrangements for all conference participants in accordance with agreed budgetary ceilings.Through consultations from the organizers; we receive all invoices from the hotel, verify them and settle them on behalf of the Client.
We quote and arrange travel insurance at reasonable rates to all conference delegate interested in taking cover for travel irregularities including; flight cancellations and delays, medical care resulting from accidents or general sickness, ticket loss and baggage irregularities.
